AIA Florida 2027 Convention & Trade Show
Convention Policies
Everything you need to know about registration, cancellations,
admission, continuing education and participation in AIA Florida's
Annual Convention & Trade Show.
Know Before You Go
Please review the following policies before registering for or attending
the AIA Florida Convention & Trade Show. We've organized the information
below to make important registration and event policies easier to find.

Firm Registration Discount
When three or more individuals from the same firm register for the full
AIA Florida Convention, each registered person is eligible for a
10% discount off the registration fee. Contact
aiaflanews@aiafla.org
to receive the firm discount code before registering.

Cancellations
Written cancellation requests received more than 21 days before the
convention are eligible for a full refund. Different terms apply after
the cutoff.

Badge Required
Attendees and guests are required to wear their convention badges while
participating in the event. Admittance may be refused without a visible
badge.
Registration & Admission
Firm Registration Volume Discount
If three or more individuals from the same firm register for the
full AIA Florida Convention, each registered person is eligible for
a 10% discount off the registration fee.
These discounts do not apply to nonmember fees or late fees and may
not be used in conjunction with other discounts.
To receive the firm discount code before registering, contact
AIA Florida at

Cancellations
Cancellations must be submitted in writing to
aiaflanews@aiafla.org
and requested more than 21 days before the convention date to
receive a full refund.
Requests after the 21-day cutoff will not receive a refund unless
there is a documented hardship. Following an individual review, a
refund may be granted less a $75 cancellation fee.
No refund requests, regardless of hardship, will be considered more
than 90 days after the conclusion of the convention.
Donations are not refundable.
Trade Show Only Admission
Attendees who are not registered for the AIA Florida Convention
& Trade Show must register and wear a name badge to enter the
trade show.
Online registration will be available prior to the event, and onsite
registration will also be available. Badges will clearly identify
trade show only registrations.
Design & Honor Awards Admission
Children age 17 and under may attend the AIA Florida/Caribbean Design
& Honor Awards for the child ticket price and must be accompanied
by an adult.
Badge Policy
Attendees and guests are required to wear badges at all times while
at the event. Admittance may be refused without a visible badge.
Substitutions & Transfers
A registrant may substitute another registrant up to the beginning
of the first morning session.
If a nonmember substitutes for a member, the applicable nonmember
fee will be charged. Cancellation requests must be made in writing;
verbal or telephone cancellation requests will not be accepted.
No transfer or refund will be granted after the course presentation
date.
Programs & Continuing Education
Speaker Acquisition
Speakers are selected by a volunteer planning committee comprised
of AIA members, including architects, emerging professionals and
allied members.
Firms, companies and individuals may submit educational content to
the committee for consideration. Limited speaking opportunities may
also be available through sponsorship.
Presentation Material
Presentation material will be available electronically in advance
of the program. Registrants will receive an email with a link to
access available presentations.
The email address used during registration is the address used to
distribute electronic materials. Please make sure AIA Florida is
not flagged as junk or spam by you or your firm.
AIA CES Approval
All continuing education content will be submitted to AIA CES for
course approval through AIA Florida's provider number.
AIA Florida will be responsible for registrations, attendance
tracking and reporting for CE events using an AIA Florida course
number.
Communication Devices
To maintain a productive learning environment, unnecessary
distractions within the classroom should be avoided. All disruptive
communication devices must be silenced during AIA Florida continuing
education programs.
During the Convention
Special Accommodations
In accordance with the Americans with Disabilities Act (ADA),
AIA Florida will make reasonable efforts to accommodate individuals
with disabilities who require special services.
Please notify AIA Florida staff in advance of any accommodation
requests.
Meeting Room Temperatures
Meeting room temperatures may vary throughout the day and are
generally cool rather than warm. Dress comfortably and consider
bringing a jacket or sweater.
Minors
Children younger than 16 are not permitted in AIA Florida continuing
education programs.
Children must be registered as guests to participate in breakfasts,
breaks, receptions, the trade show and other events offered to
guests. Discounted registration rates may be available for children
under certain ages.
Golf Tournaments
In the event of inclement weather, the host golf club will determine
whether the course will close or remain open.
If the course closes, players will receive a refund. If the course
remains open, refunds will not be issued regardless of whether the
group proceeds with the event.
Photography & Solicitation
Consent to Use Photographs
By attending an AIA Florida event, you grant AIA Florida permission
to use your name, image and/or voice in electronic, print or
multimedia publications, including internal and external
publications, media coverage, web content and social media.
You agree that you will make no monetary or other claim against
AIA Florida relating to this use.
Minors will not be photographed, videoed or recorded, nor will their
images or voices be used by AIA Florida, without written consent
from a parent or legal guardian.
Solicitation
AIA Florida has a no-solicitation policy. Unauthorized solicitation
within event areas is strictly prohibited.
This includes distribution of samples, souvenirs, publications or
other sales promotion activities. Such activities may be conducted
by paid exhibitors and sponsors only from within their respective
booths.
Anyone violating this policy may be asked to leave immediately
without a registration refund. Egregious or repeated violations may
result in disqualification from future events at the discretion of
AIA Florida management.
Important Participation Notice
Participation in the Activity
As a participant, volunteer or attendee, you recognize that your
participation, involvement and/or attendance at any AIA Florida event or
activity is voluntary and may result in personal injury, including death,
and/or property damage.
By attending, observing or participating in the activities, you acknowledge
and assume all risks and dangers associated with your participation and/or
attendance and agree that: (a) The American Institute of Architects;
(b) the property or site owner of the activities; and (c) all past, present
and future affiliates, successors, assigns, employees, volunteers, vendors,
partners, directors and officers of The American Institute of Architects or
the property or site owner (collectively, the "Released Parties") will not
be responsible for any personal injury, including death, property damage or
other loss suffered as a result of participation in, attendance at and/or
observation of the activities, regardless of whether such injuries or losses
are caused by the negligence of any of the Released Parties.
By attending and/or participating in the activity, you are deemed to
have given a full release of liability to the Released Parties to the
fullest extent permitted by law.
